What Is a Xero Integration?
A Xero integration connects Xero to another system you use, such as your online store, CRM, booking system or a custom app, so information flows between them automatically instead of being typed in twice.
There are three ways to do it: a ready-made app from the Xero App Store, a connector tool like Zapier or Make, or a custom integration built on the Xero API. Most businesses should start with the first, and only move to the third when the ready-made options can't do what they need. This guide explains how to tell the difference.
The Problem It Solves
It usually starts small. An order comes in through your website, and someone creates the invoice in Xero by hand. A quote is accepted in your CRM, and someone copies the details across. A booking is paid online, and someone matches it up at the end of the week.
Each step only takes a few minutes. But they add up, they get skipped when things are busy, and every bit of retyping is a chance for a wrong amount, a missing invoice or a duplicate customer. A good integration removes that work and gives you one set of numbers you can trust.
Does Xero Have an API?
Yes. The Xero API lets other software read and write information in Xero, including contacts, invoices, bills, payments and bank transactions. Every Xero integration, ready-made or custom, uses it behind the scenes.
One thing has changed recently. Since 2 March 2026, Xero charges app developers based on how many Xero organisations their app connects to and how much data it pulls out of Xero. Sending data into Xero remains free and unlimited. If you use a ready-made app, that's the app maker's cost to manage. If you build a custom integration, it's worth designing it to pull only the data it needs, and checking Xero's developer pricing page for the current tiers.
Option 1: Ready-Made Integrations
The Xero App Store lists apps that already connect to Xero, covering things like online stores, point of sale, payments, payroll, inventory and job management. If your other system is popular, there's a good chance a ready-made connection already exists. Shopify is a common example.
Good for: standard setups using well-known software. Watch out for: they work the way the app maker designed them, not necessarily the way your business works. If you need something slightly different, you're often stuck.
Option 2: Connector Tools
Tools like Zapier and Make connect Xero to hundreds of other apps using simple "when this happens, do that" rules. For example: when a deal is marked won in your CRM, create a draft invoice in Xero.
Good for: simple, one-way tasks you can set up yourself. Watch out for: they're priced per task, so costs grow with volume. They can also break quietly when one of the apps changes, and complicated multi-step workflows become hard to follow and fix.
Option 3: A Custom Integration
A custom integration is software built specifically to connect Xero to your systems, using the Xero API. It does exactly what your business needs, including two-way syncing, your own rules for tax codes and accounts, and connections to systems that have no ready-made app at all, such as your own customer portal or internal tools.
Good for: unusual workflows, higher volumes, custom software, or when the first two options keep falling short. Watch out for: it costs more up front and needs looking after when Xero or your other systems change. It's only worth it when the time it saves is clear.
The Three Options Side by Side
| Ready-made app | Connector tool | Custom integration | |
|---|---|---|---|
| Best for | Popular software, standard needs | Simple one-way tasks | Unusual workflows, custom systems |
| Setup | Minutes to hours | Hours | Weeks |
| Ongoing cost | App subscription | Per-task pricing | Maintenance, plus Xero API usage |
| Flexibility | Low | Medium | Full |
| When it breaks | App maker fixes it | You fix it | Your developer fixes it |
Connecting Xero to AI Tools Like Claude
This is one of the newer things people are asking about. Xero has an official MCP server, a piece of software that lets AI assistants such as Claude connect to your Xero account. Once it's set up, you can ask an assistant to look up invoices, check which bills are due, or summarise your bank transactions, and with the right permissions it can create records too.
It needs Xero developer credentials to set up, so it's more technical than installing an app. And the same rules apply as with any AI touching your finances: give it only the access it needs, keep a person checking anything that goes to a client or the ATO, and know where your data is going. Xero is also building AI directly into its own platform, which we compare in our guide to AI accounting software in Australia.
What Can Go Wrong
Most integration problems come from a few predictable places:
- Duplicates. Two systems both create the same customer or invoice, and Xero ends up with two of everything.
- Wrong tax codes. GST and account codes don't match between systems, so your BAS figures come out wrong.
- Silent failures. A sync stops working and nobody notices until month end.
- Loops. Two systems keep updating each other back and forth.
- No owner. Something breaks and nobody knows who's responsible for fixing it.
Every one of these is avoidable with a bit of planning before anything is connected.
Before You Connect Anything
Answer these first, whichever option you choose:
- Which system is the "source of truth" for customers, products and prices?
- Which way does the data need to flow: into Xero, out of Xero, or both?
- What should trigger the sync: a new order, an accepted quote, a payment?
- How should tax codes and accounts map between the two systems?
- Who gets alerted if a sync fails?
- Who looks after it when something changes?

Most of this applies to MYOB too, which also has an API and its own range of integrations.
